Water Bottle Sample Approval: Review Stages, Records and Production Release

Water bottle sample approval is a controlled decision about what may be produced, not simply a message saying that a bottle looks good. A stock sample can help select a shape, a decorated sample can demonstrate artwork, and a complete pre-production reference can define the ordered configuration. Each answers a different question.

Record the exact body, lid, seal, accessories, decoration and packaging under review. Identify unresolved issues, the person authorized to approve them and the conditions that must be met before production begins. Keep digital proofs, development samples and approved production references clearly distinguished so the supplier works from the correct approval.

Decide What Each Sample Is Intended to Prove

Ask the supplier how the sample was made and what differs from the intended production process. A development item may use an existing color, temporary decoration or substitute component. Such differences can be useful during selection, but they must be visible in the review.

Review stage Main decision Limits to record
Stock-model review Whether the body and basic handling meet the brief Existing colors, decoration or accessories may differ
Artwork or color trial Whether a specific finish, ink or body color is acceptable It may not represent the complete final assembly
Functional configuration review Whether the selected components work together Test conditions and any prototype parts must be identified
Complete pre-production reference Whether the intended selling unit is approved All deviations and open actions must be resolved or explicitly controlled
First production-piece review Whether the actual line setup reproduces approval It does not replace inspection of the remaining lot

These stages can overlap for a simple stock project. Do not request extra sample rounds only to follow a generic sequence; require enough evidence for the actual development and customization risks.

Create a Sample Register Before Parcels Arrive

Assign each sample a unique reference and connect it to the model, artwork and specification revisions. Record the shipment date, supplier contact, recipient and purpose. Separate the supplier's sample label from the buyer's approval status so an item marked "final" is not mistaken for an authorized release.

A practical register includes:

  • Sample reference and review stage.
  • Model, nominal volume, dimensions and body material information.
  • Lid, seal, straw, mixing insert and carry-part references.
  • Body color, lid color, decoration method and artwork revision.
  • Individual packaging, accessories and label revisions.
  • Intended contents, care instructions and claimed functions to verify.
  • Differences from the requested configuration and evidence still required.
  • Reviewer, decision date, corrective action and approval authority.

Photograph the sample reference with the complete item. Keep close-up records of critical components and approved decoration, but retain the physical reference where appearance or feel cannot be judged reliably from a photograph.

Review Against Written Requirements, Not Memory

Prepare the checks before evaluating the sample. Classify them as identity, dimensions, function, appearance, information or packing. Define the reference and decision method for each important requirement.

Review area Example evidence to collect
Identity Correct model and all specified components
Dimensions and volume Measurements using an agreed method and tolerances
Opening and assembly Repeatable observations of the specified lid configuration
Seal behavior Results under defined fill, closure, orientation and time conditions
Decoration Approved file, position sheet and process-specific inspection record
Product information Material, care and feature statements supported for this configuration
Packing Complete selling unit, internal restraint and matching variant label

Avoid writing "good quality" as a pass criterion. A requirement should make it possible for another reviewer to reach the same decision. If a temperature, wash, seal or wear claim matters to the buyer, agree an appropriate method and obtain the evidence before approving that claim.

The detailed decoration checks are in the Logo printing guide. Use the packaging guide for structure and packing details rather than recreating both specifications inside the sample register.

Record Differences and Make One of Three Clear Decisions

Use explicit review outcomes:

  1. Approved: the referenced configuration is accepted for the stated purpose.
  2. Revision required: listed changes must be evaluated before release.
  3. Rejected or unsuitable: the proposed item does not meet the brief and needs a different solution.

If the buyer uses a conditional approval, state exactly what it permits. Approving a corrected digital spelling proof does not approve a new ink system's wash behavior. Identify who will close the condition and what evidence is required; do not let "approved with comments" authorize unresolved functional or identity errors.

Describe each issue with the sample reference, location, observation and requested action. Review-note example: Sample S04 / Artwork R02 / rear text differs from the approved file / replace with R03 and submit a new decorated reference. Use your actual sample and artwork references, and state what the supplier must correct before approval.

Close the Production-Release Package

Before bulk production, make sure the buyer and supplier are referring to the same final files and sample. Different departments may hold an earlier drawing, while a packaging producer may have a later barcode file. One approval message should identify the controlled package rather than leaving teams to assemble it from an email chain.

The release package should connect:

  • Final model and component specification.
  • Approved material and color references.
  • Decoration artwork, placement and method.
  • Required inspection conditions and acceptance criteria.
  • Packaging contents, structure, artwork and case instructions.
  • Approved physical sample references and supporting photographs.
  • Order quantities, destination and production-release authorization.

Record tolerances and allowed substitutions in writing. A similar-looking lid, seal or resin is not an approved replacement merely because it fits the bottle. The bottle lid selection guide explains which component details deserve particular attention.

Separate Sample Approval From Lot Acceptance

A satisfactory sample proves only what was evaluated on that sample under the stated conditions. Bulk production can introduce variation, assembly mistakes or packing errors. Keep first-piece review, in-process controls and final lot inspection separate from the development approval.

If the contract uses acceptance sampling, identify the agreed scheme and current edition, lot definition, inspection level, defect categories and decision rules. ISO 2859-1:2026 covers AQL-indexed lot-by-lot inspection by attributes. Refer to the actual agreed standard for implementation; a page summary cannot provide the sampling tables or approve a lot. ISO 2859-1:2026

Do not interpret an AQL as permission to deliberately supply defective items or as proof that every shipped bottle passes. Inspection records should identify the sampled lot and the actual observations, not just a single "AQL passed" label.

Retain References and Control Later Changes

Keep the approved item and its record identifiable and in suitable storage. Record where the buyer and supplier references are held and how they will be used for disputes or reorders. A retained sample that has faded, worn or lost its label may no longer be a reliable appearance reference.

Reopen the affected approvals when a component, material, pigment, decoration, packing arrangement or product statement changes. The change need not require every test to be repeated, but the decision about what must be reassessed should be documented. Update photography and customer information if the final configuration changes.

For a reorder, ask whether the existing specification and components are still available. An old sample can remain a reference only when its identity and relationship to the new order are clear. The private-label scenario covers range development and replenishment responsibilities beyond this approval procedure.

Sample Approval Questions

Can a stock sample approve my custom color and Logo?

It can support model selection, but it does not demonstrate a color or decoration that is absent. Identify the remaining approvals and request the necessary trial or complete sample before releasing that customized configuration.

What if the supplier uses a temporary part during development?

Record the part and the reason for substitution. Limit the review to what that sample can show, and require the final component or appropriate production-representative evidence before approving the complete assembly.

Who should sign off a final bottle sample?

The buyer should name its authorized approver and involve the people responsible for function, brand appearance and receiving requirements. The supplier should acknowledge the same reference package and any release conditions.

Is an approval photograph enough for color matching?

Usually not when physical color is critical. Photographs can document identity and observations, but lighting and displays affect appearance. Keep the agreed physical standard and judging conditions alongside the photograph.

Does approving a pre-production reference replace shipment inspection?

No. It establishes a reference and release decision; it does not establish the quality of every later unit. Use the agreed production controls and final lot inspection independently.

Must the entire sample process restart after a small revision?

Assess which requirements the revision affects. Document the new file or component, repeat the relevant review and record the release decision. A limited revision should not silently change previously approved requirements.

An effective approval system ends with a named configuration, a traceable reference and a clear release decision. Send the supplier a consolidated review record, not scattered comments, so production starts from one agreed specification.
